Prompt and Circumstance: Rethinking Prompts, Run Controls, and PS Query Techniques to Streamline 3C Processes

Presenter: Michael Williams, University of Connecticut

Campus Community's 3Cs (Communications, Checklists, and Comments) offer a robust set of options to create automated communications, calls to action with checklists and markups via comments.  While the tools available in PeopleSoft provide a wide range of solutions for the automated processing of the 3Cs, institutions often do not make full use of them.  This session seeks to provide attendees with leveraging prompts, run controls, and PS Query functionality to enhance the processing of 3Cs and reduce duplicative 3C queries.

You use Enrollment Requirement Groups to do What?

Presenter: Alexa Allen, Michigan State University

Michigan State University switched to Campus Solutions (CS) from a custom-built student information system. MSU continues to maintain a home-grown course catalog. Follow along as we provide a case study for how we have coded our courses into campus solutions with the use of anti-requisites and both course and class-level Enrollment Requirements Groups (ERGs). We will begin by covering some ERG basics and dive into our more complex solutions. In addition, we will share parts of our course requirements that cannot be coded into CS and lay out our planned path forward.

Fraud, She Wrote: Using Service Indicators and Rules Engine to Prevent Fraud

Presenter: Kyne Thach, Long Beach City College

In 2021, the California Community Colleges began noticing irregularities in admissions. As reported by the LA Times in March 2022, over 65,000 fraudulent applications were submitted, likely to exploit federal relief funds. To address this, LBCC developed a Fraud Dashboard designed to assist the Admissions & Records and Financial Aid Offices in reviewing student data. By utilizing Service Indicators and the Rules Engine, this fully customizable tool enables technicians to swiftly assess student profiles related to admissions, enrollment, or financial aid, identifying potential fraud.

This session will cover:

  • Customization of the LBCC Fraud Dashboard
  • Customization of the LBCC Mass Assign by Rules
  • Setup of the Rules Engine - Setup of Service Indicators
  • Business processes for review and enrollment cancellation
  • Collaboration with Institutional Effectiveness to track new trends and update rule thresholds
  • Additional applications of the Rules Engine and mass assignment of Service Indicators
