We released our first Gideon Taylor eForm into Production in February 2024. A year later, we have learned a lot and delivered quite a few more. Here at the University of Nottingham, we have found that pairing GT eForms with a Kibana dashboard can improve the visibility of the processes they support. Working together, these solutions give users a far more efficient method than what we had before.

Concordia University is currently on version 3.58.03 of GT eforms with the use of Augmented Routing. This presentation will showcase our use of augmented routing on GT eforms, particularly in cases where the approval path can differ from one faculty to another, while all sharing the same eform. Other use cases of changing approval paths halfway in the approval process from one faculty or department to another, as well as the incorporation of the registrar’s office into the approval paths for only one faculty (while keeping the setup for the other faculties intact), will be discussed. We’ll share some of our experience in setting up the approval workflow, adjusting the labels on the buttons depending on the level of approval for a better user experience, accommodating particular requests unique to a certain faculty, adding more complexity/layers to the approval workflow while the form is active, and setting up/configuring approver access via security roles. Overall, it is a quick introduction to how GT eforms and augmented routing can make the approval process work for you (and all the different and fun operation rules that exist in your organization).

In this presentation, we will explain a few of our eForms and why they benefit from a dashboard. We will also explain what design considerations we needed to include in the form and the dashboard to ensure they worked together well. We will also share a few tips and tricks we have learned along the way.
