Paper to Digital – Student Records

Track: Exhibitor

Session Number: 3010
Date: Thu, Oct 20th, 2022
Time: 8:00 AM - 9:00 AM
Room: Room 16

Description:

In this presentation, we will discuss a recent success story for Kyndryl® at a major southern US university. Nearly all universities still have paper records for transcripts dating back to when the university graduated its first student. Most have moved to digital systems in the last couple of decades. Our client has an all-to-common problem, how do you protect historical paper records and make them accessible digitally? Who has the staff to scan millions of documents? Our client was forced to look closely at this problem due to a water leak in the ceiling threatening records that dated back to the 1800s.

We will discuss ways that our client found success on its journey, what tools were leveraged to achieve its goals and several lessons that were learned along the way. If your school is considering a move to digital from paper student records or other paper records, you will find value in this recount.

This presentation goes far beyond scanning documents into some document management system or digital storage location. Instead, we dive into the practical issues found when moving off the paper. We will discuss how you avoid having two systems after scanning in the documents (one the new fancy digital workflow and the other the old digital archive) – as an example. Finally, we address the value behind what those documents might contain and how to unlock exciting new views of information you didn’t know you had!

We look forward to sharing our success story with you!
